Most office carpet replacements happen in buildings that are still in use. Staff need to keep working, meeting rooms are booked, and IT cannot be offline for long. With the right plan, carpet tiles can be replaced zone by zone with very little disruption. This guide explains how.

Why carpet tiles suit occupied offices

Carpet tiles are modular, so they can be installed in sections. You do not need to clear the whole floor at once, as you would for broadloom. They also suit raised access floors and services under the floor, because individual tiles can be lifted for access. Step 1: Measure and survey

We start with an on-site measure. As well as area, we look at:

  • What is on the floor now, and how it is fixed
  • The condition of the slab or access floor underneath
  • Furniture types, such as workstations, joinery, compactus and server racks
  • Lift, loading dock and access rules
  • Areas that cannot be disrupted, such as reception, data rooms and executive suites

Step 2: Agree the zones

The floor is split into zones that can be cleared, laid and returned in a shift or a weekend. Each zone is scheduled around your business, for example meeting rooms first, then a team area each night, with reception done on a weekend.

Step 3: Furniture and IT

Furniture needs to move for the floor to be replaced. Some clients use their own removalists or fitout contractor, while others ask us to coordinate. Workstation cabling, power poles and under-desk equipment need to be disconnected and reconnected, usually by your IT and electrical contractors. Planning these trades into the zone schedule is what keeps the job on time.

Step 4: Uplift and preparation

Old carpet tiles are lifted and removed. The adhesive is checked, since many carpet tiles use a tackifier that can sometimes be reused, while other floors need cleaning or preparation. Damaged areas of slab are repaired. We quote uplift, disposal and preparation as separate lines.

Step 5: Install and return

New tiles are laid in the agreed pattern, usually quarter-turn, monolithic or ashlar depending on the product, and trims are fitted at transitions. Furniture goes back and the zone is ready for the next working day.

After-hours and weekend work

After-hours work is often the simplest way to avoid disruption, but it changes labour costs and depends on building rules such as security, lifts and noise. We price it openly so you can compare it with a daytime staged approach.

Keep spares

Order extra tiles from the same production batch and store them on site. When a tile gets stained or damaged in future, it can be swapped quickly and will match.

After the install: settling in

Once new carpet tiles are down, a few simple steps help them perform. Put chairs and furniture back carefully, lifting rather than dragging, and check that office chair castors are suitable. Replace any damaged castors and add chair mats where the product guidance suggests them. Reconnect equipment and check that cables run under desks rather than across walkways.

Agree a cleaning routine with your contractor from the first week. Regular vacuuming of traffic paths and quick response to spills make the biggest difference. Store spare tiles flat in their boxes, in a dry place, labelled with product and batch, and note where they are for whoever looks after facilities in the future.

Finally, walk the floor a few weeks later. Look at transitions, edges around columns and furniture, and any tiles that may need adjusting. Small fixes early keep the floor looking consistent. For the product side, see our carpet tiles page and the carpet tiles vs broadloom guide.

Frequently asked questions

Do we need to move all the furniture at once?

No. Furniture is moved zone by zone so most of the office stays usable.

Can new tiles go over the old ones?

Generally not. Old tiles are lifted, the floor is cleaned and prepared, and new tiles are laid with the specified adhesive or tackifier.

What should we send for a quote?

A floor plan, the approximate area, photos, any preferred products and the building's rules for after-hours work.
